Invoicing for appliance repair, across the two visits it usually takes.
Diagnose today, order the part, fit it Thursday. That is two attendances and one repair, and the paperwork has to hold together across both without the customer feeling billed twice.

The repair is one job spread over two visits
Almost no appliance is fixed on the first attendance. You diagnose, you order, you come back. From your side that is two journeys, two parking spots and two lots of time. From the customer side it is one broken washing machine, and any suggestion of two charges feels like being penalised for a part you did not have.
The other recurring problem is proof. Six months later the pump fails again and the manufacturer asks which part was fitted and when. If the invoice says pump replaced, you are absorbing the return. If it says the part number and the date, the claim goes where it belongs.
State the diagnostic policy once, in writing, on the invoice
There are three normal policies in this trade. The diagnostic stands alone. The diagnostic is credited against the repair if the customer proceeds. Or the diagnostic is waived entirely when they proceed. All three are perfectly reasonable and customers accept any of them, provided they learn it before the invoice rather than from it.
Put it on the line itself: diagnostic call out, credited against repair if approved within 14 days. That single clause ends the most common argument in appliance repair, and it costs you nothing because it was already your policy.
What appliance work needs on the paperwork
Invoice Local is built for someone kneeling behind a washing machine with a phone balanced on the worktop.
The appliances and the work behind the invoice
Domestic or commercial, in warranty or out, the invoice is written line by line, so an unusual machine is no harder to bill than a common one.
What the customer receives
These invoices are shown to manufacturers, landlords and insurers. They must make sense to somebody who never saw the appliance.
- Business name, your logo on Pro, and any registration number you add
- A sequential number that keeps takings reconcilable
- The date, and a due date only where the customer is on account
- Parts with quantity and, where you add it, the part number
- Labour shown separately from parts
- A tax line only when you charge tax
- Paid status and method, so a doorstep payment becomes a receipt
- A PDF that can be forwarded straight to a warranty department

An appliance repair invoice template you can print or fill in
Two pages. The first is the worked example above as a finished document, which for this trade is a receipt, because the money usually changes hands before you leave, so you can see what a clear one looks like. The second is the same sheet blank as an invoice, with the line descriptions this trade actually uses, and the amounts left empty because what you charge is yours.
Questions appliance engineers ask
What does it cost?
Unlimited invoices, quotes and receipts are free forever, with saved customers, saved line items and sending by WhatsApp or email. Pro is $4.99 a month or $29.99 a year and adds five more designs and removes the small watermark.
How do I bill a job that took two visits?
Put both attendances on one invoice with the diagnostic and the return clearly named, or issue a diagnostic invoice on the first visit and a repair invoice on the second. Either is fine. What causes complaints is a single total that hides the fact you drove there twice.
Why bother recording part numbers?
Because a warranty claim starts with proving what was fitted. Without the number the manufacturer conversation goes nowhere and you absorb the return visit. Fifteen seconds of typing at the customer house is the cheapest insurance in this trade.
Can I invoice a landlord instead of the tenant?
Yes. Save the landlord or agent as the customer and put the property address on the document. Agencies pay noticeably faster when the invoice identifies the property without anyone having to email you and ask.
What if the repair is not economic?
Invoice the diagnostic on its own with the reason stated, such as parts no longer available or repair cost exceeds replacement. Customers accept that far more readily when the invoice explains the finding rather than just charging for a visit.
Does it need an internet connection?
No. Invoices are created and stored on the phone. A utility room with no signal changes nothing, and anything you create syncs later if you have signed in for cloud backup.
Which devices does it run on?
Android phones and tablets through Google Play, and any modern browser at app.invoicelocal.com. There is no iPhone app yet, so on an iPhone you use the browser version, which builds and sends the same PDF from the same account.

If you still build invoices by hand, the free invoice template is a plain starting point. The invoicing guides cover the paperwork questions that come up most, and the comparison pages are there if you are weighing Invoice Local against another app.
