For carpet and upholstery cleaning

Invoicing for carpet cleaning, counted the way you quoted it.

Three rooms, a hall, stairs and a landing is either three rooms or six areas depending on who is counting. Put the count on the invoice and the disagreement never happens.

The problem

Everyone counts rooms differently

You quote three rooms over the phone. You arrive and the lounge is open plan into a dining area, the hall runs into a landing, and the stairs were never mentioned. Nobody lied. The customer simply counted the way a person who lives there counts, and you counted the way somebody who has to clean it counts.

Every carpet cleaner has had the version of this conversation that happens at the door with the machine already running. It is avoidable, and the fix is on paper rather than in negotiation: state the count, name the areas, and price stairs and landings as their own line every single time.

Why it matters

A minimum charge protects a trade priced in small jobs

A single bedroom is twenty minutes of cleaning and an hour of driving, unloading, setting up and packing down. Priced purely per room, small jobs lose money quietly while looking like work. That is what a minimum charge exists for, and it only works when the customer sees it before you arrive.

The add ons are the other half of the economics. Protector, deodoriser, stain treatment and moving furniture are real time and real product, and they are the difference between a job that pays and a job that fills a slot. Listed as their own lines, customers accept them readily, because each one is an obvious choice rather than a mysterious increase in the total.

What you get

What a carpet cleaning business gets

Invoice Local is built for a phone in a van, between jobs, with the next appointment already waiting.

Room or area countsQuantity times rate, with the areas named, so nobody recounts the house later.
Minimum charge savedApplied with a tap and visible on the document rather than hidden in the first room.
Stairs and landingsTheir own line at their own price, which is where most counting disputes actually start.
Add ons listedProtector, deodoriser and stain treatment as separate choices the customer can see.
Upholstery by itemSofas by seat count, chairs and mattresses per item, priced the way you quoted them.
Repeat customersAnnual domestic clients and monthly commercial ones saved and duplicated in seconds.
Works with no signalEmpty rentals and basements. The invoice is created on the device either way.
Paid on the spotRecord the payment as you take it and the PDF goes out as a receipt.
Outstanding on one screenSmall invoices hide late payers well. This surfaces them without a spreadsheet.
Covered work

The jobs that end up on a cleaning invoice

Domestic, rental turnaround or commercial contract, the same builder covers it, because the invoice is written line by line.

Domestic carpetsPer room or per area with the rooms named, plus stairs as their own line.
End of tenancyQuoted first with the scope written down, because a deposit may depend on it.
UpholsterySofas by seat, chairs and mattresses per item, with fabric type noted where it changed the price.
RugsPriced by size or taken away and returned, with collection and delivery as separate lines.
Stain treatmentCharged as an add on with the stain type described, since results cannot be guaranteed.
Commercial officesPriced by area with out of hours access, invoiced monthly against a purchase order.
Pubs and restaurantsNight work with the premium visible, and a site reference on every invoice.
Flood and water damageExtraction and drying by day, with equipment hire listed separately for the insurer.
Landlord contractsRepeat turnarounds for the same agent, each with the property on the document.
In every invoice

On the invoice, without setup

These documents go to letting agents and office managers as often as to homeowners, so they must be readable by someone who was not there.

  • Business name, your logo on Pro, and any certification you add
  • A sequential number that survives a busy month
  • Issue date, due date and the terms behind them
  • Every area or item with quantity, rate and line total
  • A tax line only when you charge tax
  • The property address where it differs from the billing address
  • Amount paid and balance due after any part payment
  • A print ready PDF that opens correctly on any device

Free template

A carpet cleaning invoice template you can print or fill in

Two pages. The first is the worked example above as a finished document, which for this trade is a receipt, because the money usually changes hands before you leave, so you can see what a clear one looks like. The second is the same sheet blank as an invoice, with the line descriptions this trade actually uses, and the amounts left empty because what you charge is yours.

Questions

Questions carpet cleaners ask

What does it cost?

Unlimited invoices, quotes and receipts are free forever, with saved customers, saved line items and sending by WhatsApp or email. Pro is $4.99 a month or $29.99 a year and adds five more designs and removes the small watermark.

Should I price per room or per area?

Whichever you already quote in, but be consistent and put the count on the invoice. The problem in this trade is never the rate, it is that a customer counted an open plan lounge and diner as one room and you cleaned two. Naming the areas removes the argument entirely.

Can I show a minimum charge without it looking harsh?

Yes, and it looks worst when it is hidden. A line reading minimum job charge sits fine on an invoice a customer already agreed to over the phone. What causes complaints is a small job costing more than the per room rate implies, with no line explaining why.

How do I invoice an end of tenancy clean?

Quote first with the scope written down, because a tenant deposit may hang on it. Then convert that quote into the invoice so the wording matches. Agents challenge invoices they cannot match to an agreed scope, and match nothing to a phone call.

Can I invoice a monthly commercial contract?

Yes. Duplicate last month, change the dates and any extras, and send. There is no automatic recurring billing, so nothing goes out without you, which for most contract cleaners is a few minutes a month.

Does it need a signal at the property?

No. Invoices are created and stored on the phone, so an empty rental with no wifi changes nothing. If you have signed in, everything syncs later.

Which devices does it run on?

Android phones and tablets through Google Play, and any modern browser at app.invoicelocal.com. There is no iPhone app yet, so on an iPhone you use the browser version, which builds and sends the same PDF from the same account.
