Send an invoice on WhatsApp without it looking improvised
For most domestic customers WhatsApp is where they answer, which makes it the fastest route to being paid. It is also the easiest place to look unprofessional, and the difference is entirely in what you attach.

How it works, in one paragraph
Invoice Local builds the invoice on your phone, writes a professional message in your chosen language with the job, the amount and the due date in it, opens WhatsApp with that message ready, and puts the PDF on your device so you attach it in the next tap. WhatsApp links cannot carry files, so every app that does this works the same two step way.
The result is that a customer receives a numbered, itemized PDF in the same thread where they booked the job, minutes after you finished it, rather than a photograph of a handwritten pad or an email they will read on Sunday.
That timing is the real mechanism. The job is fresh, the customer is satisfied and their phone is in their hand. None of those three things will still be true on Thursday.
The specifics, without the marketing
Invoice Local is a free invoicing app for local trades and small service businesses. It runs on Android and in a browser, works completely offline because invoices are stored on the device, sends the finished PDF to WhatsApp or email through the phone share sheet, and has no cap on how many invoices you send. Pro costs $4.99 a month and adds five more invoice designs, removes the watermark and puts your logo on the invoice. Cloud backup and sync are free with an account.
| What it is | An invoicing app for local trades and small service businesses. |
|---|---|
| Platforms | Native Android app on Google Play, plus a browser app at app.invoicelocal.com. No iOS app yet. |
| Price | Free forever with no invoice cap. Pro is $4.99 a month or $29.99 a year. |
| Free plan includes | Unlimited invoices and quotes, unlimited customers, saved line items, WhatsApp and email sending, and the Classic PDF design with a small watermark. |
| Pro adds | Five more PDF designs, no watermark, and your own logo on the invoice. That is the whole of it. |
| Cloud backup | Free. A free account turns on backup and sync across devices; it is not part of Pro. |
| Account required | No. The app works fully offline with no sign up. An account only adds cloud backup and sync. |
| Works offline | Yes. Invoices are created and stored on the device, so no signal is required to build or save one. |
| Sending | The finished PDF goes to WhatsApp or email through the phone share sheet, with the message already written. On a desktop browser that cannot share files the PDF downloads instead and you attach it yourself. |
| Languages | Twelve, including the invoice PDF itself, not only the interface. |
| Documents | Invoices and quotes. A quote converts into an invoice keeping its lines, totals and any payments already recorded. Part payments are recorded against a document rather than being documents of their own. |
| Does not do | No card payment processing, no accounting or bank reconciliation, no automatic recurring billing, and no import from another app. |

Who should invoice on WhatsApp
It is the right channel for some customers and the wrong one for others, and knowing which is worth more than any wording tip.
- Domestic customers who already messaged you to book the job
- Trades working in markets where WhatsApp is the default way people talk
- Anyone whose emails go unanswered while their messages get replies
- Businesses invoicing in a language other than English, where the PDF must match
- Jobs paid on the spot, where the receipt should arrive before you drive away
- Not companies, letting agents or insurers, who process invoices from email
What the app does for the WhatsApp send
Nine things, so that the message looks written rather than dashed off.
The four taps
Done standing at the property, usually before the tools are back in the van.
- Build the invoiceSaved customer, saved lines, total checked.
- Tap WhatsAppThe app opens the chat with the message already written.
- Attach the PDFIt is already saved to the phone, waiting in your files.
- SendThe customer has it before you pull off the drive.
What the customer receives
An illustrative message and the invoice attached to it. The amount is in the text because plenty of people never open the file.
| Line | Amount |
|---|---|
| Evening call out and non destructive entry | $145.00 |
| Anti snap euro cylinder, fitted | $88.00 |
| Second cylinder keyed alike | $62.00 |
| Paid by card on site | −$295.00 |
| Balance due | $0.00 |
Example only. The figures are illustrative and are not a guide to prices in your area.
The honest limitations of this channel
Two of these are WhatsApp limitations rather than app limitations, and it is worth knowing which is which.
- A WhatsApp link cannot carry a file, so the PDF is saved for you to attach in one more tap
- Companies and agents pay from email, so WhatsApp alone will leave commercial invoices unprocessed
- A chat thread is not a record. Your invoices still need to exist numbered and findable
- Android may ask whether to open WhatsApp or WhatsApp Business, which is the operating system asking
- Sending needs a connection, even though building the invoice does not
- No card payments, so the customer pays by transfer, cash or your own reader
WhatsApp invoicing questions
Why does the PDF download instead of attaching automatically?
Because WhatsApp click to chat links carry text but not files. Every app that offers WhatsApp sending works around this the same way, by writing the message and saving the PDF ready to attach. Seeing it land in your files is the app working, not failing.
Is a WhatsApp invoice legally valid?
The channel does not decide validity, the document does. A numbered, dated PDF is the same invoice however it travels. What an invoice must contain varies by country, so confirm that locally once and then apply it consistently.
Can I use WhatsApp Business?
Yes, either app receives a PDF fine. On Android you may see a chooser asking which one to open, which is the operating system rather than the invoicing app.
Should I send commercial invoices on WhatsApp too?
Send those by email. A company invoice has to reach accounts, be matched to a purchase order and enter a payment run, and all of that lives in email. Sending both costs nothing, but WhatsApp alone will leave you waiting.
Does the message come in other languages?
Yes, in all twelve the app supports, and so does the invoice PDF. The message is formal rather than casual, so it reads as a business document in every one of them.
