Invoicing for pool service, with the plan and the extras kept apart.
The monthly service is predictable. The chemicals are not, and the pump that failed in July is a different sale entirely. Customers merge all three unless the invoice keeps them separate.
Free forever No card No account needed to start
Everything gets folded into what they call the pool bill
A pool customer on a monthly plan has one mental category for you, and it is the pool bill. When chemicals run high after a hot fortnight, or a filter cartridge needs replacing, or the heater packs up, all of it lands in the same category and the reaction is the same: it went up again.
Nothing about that is unreasonable from their side. They agreed a monthly figure and everything above it feels like drift. The only defence is an invoice that shows the plan at its fixed price and every extra as a separate, named, dated line.
Chemicals are a pass through, so show them as one
Chlorine, acid, stabiliser and salt are consumables whose cost moves with the weather and with the supplier. If they are buried inside the monthly fee you carry that variance yourself, and in a hot summer that is a real loss. If they are billed at cost or with a stated markup on their own line, the customer sees the pool consuming chemicals rather than you raising a price.
Equipment is the same argument at a larger scale. A pump, a heater or a salt cell is a purchase, not maintenance, and it deserves a quote with a deposit rather than an appearance at the bottom of a service invoice. That distinction is set out in the guide on quotes, estimates and invoices.
What a pool business needs
Invoice Local runs from a phone at the poolside, which is where the information is while it is still accurate.
Pool work that gets invoiced
Residential plans, one off recoveries and commercial pools all use the same builder, so nothing needs a special case.
On every pool invoice
Commercial pool invoices are approved by facilities managers who never see the plant room, so the document has to explain itself.
- Business name, your logo on Pro, and any licence or certification you add
- A sequential number that keeps a plan round reconcilable
- Issue date, due date and the terms behind them
- Every line with quantity and rate, including chemicals
- A tax line only when you charge tax
- Visit dates for the period being billed
- Deposit and part payments shown with the balance calculated
- A clean PDF that can be filed with a pool log
What pool companies search for, and what the invoice must separate
The searches on the left bring people here. The list on the right is what stops a routine month reading like a price rise.

A month of pools in a few minutes
The first invoice for a customer takes a minute. Every one after that is duplication.
- Open last monthFind the customer, open the previous invoice, tap duplicate.
- Update the datesVisit dates for the period, which is the field customers actually check.
- Add chemicals and extrasWhat the pool consumed and anything repaired, each on its own line.
- Send itEmail for commercial, WhatsApp for domestic, message already written.
A month where a repair happened
An illustrative invoice. The repair sits below the plan with its own date so it cannot be read as the plan going up.
| Line | Amount |
|---|---|
| Monthly service plan, 4 visits, July | $180.00 |
| Chemicals: chlorine 10kg, acid 5L, stabiliser 2kg | $96.50 |
| Filter cartridge cleaned and refitted, 9 July | $45.00 |
| Pump seal replaced, part and labour, 22 July | $165.00 |
| Total due, net 14 | $486.50 |

A pool service invoice template you can print or fill in
Two pages. The first is the worked example above as a finished document, so you can see what a clear one looks like. The second is the same sheet blank as an invoice, with the line descriptions this trade actually uses, and the amounts left empty because what you charge is yours.
Questions pool companies ask
What does it cost?
Unlimited invoices and quotes are free forever, including saved customers, saved line items and sending by WhatsApp or email. Pro is $4.99 a month or $29.99 a year and adds five more designs and removes the small watermark.
Can it bill my plan customers automatically each month?
No, and that is worth knowing before you switch. There is no automatic recurring billing. What there is is duplication: open last month, tap duplicate, change the dates, send. For a route of twenty pools that is a few minutes, but it is not hands off.
Should chemicals be inside the monthly fee or on top?
On top, itemized, unless you have priced a genuinely all inclusive plan. Chemical use swings with weather and bather load, and a fixed fee that absorbs it means you carry the bad summers. A customer who can see 10kg of chlorine on the page reads consumption, not a price rise.
How do I invoice a green pool recovery?
As a quoted project rather than a service visit, with chemicals, filtration hours and return visits itemized, and a deposit if the chemical cost is significant. Recoveries go wrong commercially when they are treated as one visit and turn into four.
Can I show the visit dates?
Yes, and you should. Put them on the plan line or as their own line. When a customer believes a visit was missed, a dated list ends the conversation immediately, and when they are right you find out before they are annoyed.
Does it work at a property with no signal?
Yes. Everything is created and stored on the phone. Signal only matters at the moment you send, and if you have signed in for backup, it syncs later.
Which devices does it run on?
Android phones and tablets through Google Play, and any modern browser at app.invoicelocal.com. There is no iPhone app yet, so on an iPhone you use the browser version, which builds and sends the same PDF from the same account.

If you still build invoices by hand, the free invoice template is a plain starting point. The invoicing guides cover the paperwork questions that come up most, and the comparison pages are there if you are weighing Invoice Local against another app.
