Invoicing for tree work, where access is most of the price.
The same tree costs three different amounts depending on whether you can reach it, park near it and drop it whole. If the invoice does not show access, crew and waste separately, the price looks arbitrary.

The customer prices the tree, you price the access
Two identical limes, one in an open field and one between a conservatory and a neighbour fence. Same species, same height, wildly different jobs. The second needs sectional dismantling, roped lowering, an extra groundsman and twice the time, and the customer standing in the garden sees only a tree.
That is why tree quotes get compared against a neighbour who paid half. The comparison is meaningless, but you can only prove it with an invoice that separates crew days, access constraints, machinery and waste, so each element can be understood on its own.
Waste is a real cost that customers assume is free
Arisings do not vanish. They are chipped, loaded, driven and tipped, and tipping is charged by weight or by load. A customer who asks you to leave the logs has made a decision that changes your cost, and one who asks you to take everything has made a different one. Both should see the line.
The other item worth its own record is permission. Protected trees, conservation areas and preservation orders carry legal consequences for the person who does the work. Noting the consent reference on the quote and the invoice takes seconds and puts the authorisation on the record where it belongs, rather than in a phone call nobody can produce later.
What a tree care business gets
Invoice Local runs from the phone in your chainsaw trousers, which is the only office a climbing crew has.
Tree work you invoice for
Domestic gardens, estates and commercial grounds all use the same builder, so an unusual job needs no special handling.
On every tree work invoice
These documents reach insurers, councils and managing agents, so they must be understandable without a site visit.
- Business name, your logo on Pro, and any certification or insurance reference you add
- A sequential number that keeps the year reconcilable
- Issue date, due date and the terms behind them
- Every line with quantity and rate, including crew days
- A tax line only when you charge tax
- The site address where it differs from the billing address
- Deposit and part payments with the balance calculated
- A clean PDF that can be attached to a claim or a consent record
What arborists search for, and what the invoice has to explain
The searches on the left bring people here. The list on the right is what makes a tree price defensible.

A sectional dismantle in a tight garden

A tree surgeon invoice template you can print or fill in
Two pages. The first is the worked example above as a finished document, so you can see what a clear one looks like. The second is the same sheet blank as an invoice, with the line descriptions this trade actually uses, and the amounts left empty because what you charge is yours.
Questions tree surgeons ask
What does it cost?
Unlimited invoices and quotes are free forever, including saved customers, saved line items and sending by WhatsApp or email. Pro is $4.99 a month or $29.99 a year and adds five more designs and removes the small watermark.
How do I justify a price against a cheaper quote?
With lines, not with argument. Crew days, access method, machinery and waste each on their own row. A customer comparing two totals is comparing nothing, and a customer comparing an itemized invoice against a one line quote usually works out for themselves which one described the actual job.
Should stump grinding be on the same invoice?
It can be, but keep it as its own line and, where it is a separate visit, consider a separate invoice. It uses a different machine, often a different day, and customers frequently decide on it after the tree is down.
Can I record a preservation order reference?
Yes. Put the consent or application reference in the invoice reference field or as a line note. Tree work carries legal weight that most trades do not, and a consent number on the paperwork is worth far more than a remembered phone call.
How do I bill storm work at short notice?
Invoice the make safe attendance immediately at your out of hours rate, with the full remedial work quoted separately. Emergency response and planned work are two different sales, and mixing them is how the emergency premium gets negotiated away.
Does it work in woodland with no signal?
Yes. Invoices are created and stored on the phone. Reception only matters when you press send, and anything created offline syncs later if you have signed in.
Which devices does it run on?
Android phones and tablets through Google Play, and any modern browser at app.invoicelocal.com. There is no iPhone app yet, so on an iPhone you use the browser version, which builds and sends the same PDF from the same account.
