Invoicing for mobile mechanics, written at the kerbside.
You fix it where it broke down, and you get paid before you drive away. That means the document has to exist at the roadside too, with the part number on it, because that is what a warranty claim will ask for six months later.
Free forever No card No account needed to start
You are paid at the roadside and the paperwork never catches up
A mobile mechanic has no counter, no job card wall and no service desk. The customer pays by card or transfer while you are still packing the tools, and everyone moves on. What is missing is any record of which alternator went into which car, and that gap shows up months later when the part fails and nobody can prove what was fitted.
The diagnostic charge causes the other half of the friction. Charging to find the fault is completely normal and still gets queried more than any other line, because to the customer it can look like being billed twice for the same visit. Presentation fixes it, not price.
The part number is the difference between a warranty and an argument
Every part you fit carries a warranty from somebody, and every warranty claim starts with proving what was fitted and when. If the invoice says "alternator" the claim is a conversation. If it says the make, the part number and the date, the claim is paperwork. It costs you fifteen seconds at the roadside and can save a whole return visit at your own expense.
The same logic applies to the diagnostic. State it as its own line and say plainly whether it is credited against the repair. Both policies are fine. What is not fine is leaving the customer to work it out from the total, because they will assume the version that favours them and be annoyed when you disagree.
What mobile vehicle repair needs on the document
Invoice Local is built for a phone used with dirty hands at the side of a road, not for a workshop terminal.
Work a mobile mechanic bills for
Roadside, driveway or a customer car park, the invoice is assembled line by line, so an unusual job is no harder to bill than a routine service.
What the customer keeps
A vehicle invoice is a service record. It gets shown to a buyer, an insurer or a parts supplier, so it has to stand on its own.
- Your business name, your logo on Pro, and any registration line
- A sequential number that keeps your takings reconcilable
- The date, and a due date only where the customer is on account
- Every part with quantity and, where you add it, the part number
- Labour hours and rate shown separately from parts
- A tax line only when you charge tax
- Paid status and method, so a roadside payment produces a real receipt
- A PDF that survives being forwarded to a warranty department

A mobile mechanic invoice template you can print or fill in
Two pages. The first is the worked example above as a finished document, which for this trade is a receipt, because the money usually changes hands before you leave, so you can see what a clear one looks like. The second is the same sheet blank as an invoice, with the line descriptions this trade actually uses, and the amounts left empty because what you charge is yours.
Questions mobile mechanics ask
What does it cost?
Unlimited invoices and quotes are free forever, with saved customers, saved line items and sending by WhatsApp or email included. Pro is $4.99 a month or $29.99 a year and adds five more invoice designs, removes the small watermark and puts your logo on the invoice.
Can I record the registration and mileage?
Yes. Put the registration in the customer name or the reference line and add mileage as a line or a note. It is worth the extra few seconds, because an invoice that identifies the vehicle is a service record and an invoice that only names a person is not.
How should I handle the diagnostic fee?
Keep it as its own line and decide one policy, then state it on every invoice. Either it stands alone or it is credited against the repair when the customer goes ahead. Both are normal in this trade. The disputes come from the policy being invisible, not from the amount.
Can it produce a receipt rather than a bill?
Yes. Record the payment as you take it and the same document shows the amount paid and a zero balance, which is exactly what a receipt is. Your list also stops showing the job as outstanding.
Does it work in an underground car park?
Yes. Invoices are created and stored on the phone, so no signal is not a degraded experience, it is simply irrelevant. Anything you created syncs later if you have signed in for backup.
Can I invoice a small fleet monthly?
Yes. Save the operator as the customer and add one line per vehicle with its registration and the work done. Fleets pay faster when they can match each line to a vehicle without emailing you to ask.
Which devices does it run on?
Android phones and tablets through Google Play, and any modern browser at app.invoicelocal.com. There is no iPhone app yet, so on an iPhone you use the browser version, which builds and sends the same PDF from the same account.
