For domestic and commercial cleaning

Invoicing for cleaners, built around repeat visits.

Most cleaning income is the same job, for the same client, over and over. Duplicate last month, change the date, send it. The one off deep clean and the end of tenancy job take the same minute.

The problem

Twenty small invoices are harder than one big one

A cleaning round is not a few large jobs. It is a lot of small ones, often the same amount every week or every month, from clients who each want the invoice in a slightly different way. One wants it monthly in arrears. One pays per visit. The office contract wants a purchase order number on it or accounts will not process it.

Doing that in a spreadsheet works until it does not. Twenty near identical invoices a month means twenty chances to send the wrong date, skip a number in the sequence, or invoice a client twice for the same visit. Each mistake costs a phone call, and phone calls with clients about billing errors are how good accounts start to feel shaky.

The other half of the problem is chasing. Because the amounts are small, late payment does not feel urgent, so it drifts. Six clients at two months behind is real money that nobody noticed leaving, because no single invoice was big enough to trigger a chase.

Why it matters

Small and repeated means the system matters more than the invoice

If you send one invoice a month, a template in a word processor is fine. At twenty a month, the important number is how long a single invoice takes from start to sent, because you are paying that cost twenty times. Cutting it from six minutes to forty seconds gives you back most of an evening every month.

Consistency does the second half of the work. When every invoice for a client is worded and numbered the same way, their accounts department stops treating each one as a new thing to check. Purchase order on the same line, same description, same reference. Familiar invoices get approved faster than correct ones that keep changing shape.

Then there is the part nobody enjoys, which is chasing late payment. It only works if you can see who is behind without adding anything up. A running list of outstanding invoices turns chasing from an evening of reconstruction into a five minute job on a Friday.

What you get

What a cleaning business gets

Everything in Invoice Local is aimed at repetition. The first invoice for a client takes a minute. Every one after that takes seconds.

Duplicate any invoiceCopy last month, change the date, send. The number advances on its own and payments start clean.
Saved visit ratesRegular clean, deep clean, carpets and hourly extras all saved once and reused with a tap.
Client referencesPurchase order or site reference on the document, which is what gets office contracts paid on time.
Per visit or monthlyInvoice each visit or roll a month of visits into one document with the dates listed as lines.
Outstanding at a glanceSee every unpaid invoice across all clients on one screen instead of a spreadsheet.
Part paymentsA client paying in two halves is recorded properly, with the balance kept accurate.
Quotes for one offsEnd of tenancy and deep cleans quoted first, converted to an invoice when the work is booked.
Works without signalBasements, new builds and rural properties. Invoices are built on the device either way.
Twelve languagesThe app and the invoice both switch language, which matters when your team and clients differ.
Covered work

The kinds of cleaning work you invoice

Domestic rounds, commercial contracts and one off jobs all use the same builder, so a new type of work never means a new system.

Weekly domesticThe same invoice every week or month, duplicated in seconds with the visit dates listed.
Office contractsMonthly in arrears with a purchase order reference, worded identically each time.
End of tenancyQuoted first with the scope on the document, so the deposit conversation has a paper trail.
Deep cleansHours and materials separated, with any extra rooms itemized rather than absorbed.
Carpet and upholsteryPer item or per room pricing with quantities, which stops the total looking arbitrary.
Post constructionStaged billing across a build, with each stage numbered in the same sequence.
Holiday letsChangeover cleans invoiced per turnaround, often several to the same owner in one month.
Communal areasBlock management work with the property reference on every invoice for the agent.
One off extrasOvens, windows and appliances added as lines to a regular visit without a new document.
In every invoice

What every invoice carries by default

Commercial cleaning invoices are approved by someone in an office who has never met you. The document has to stand on its own.

  • Your business name at the top of every page, or your logo on Pro
  • A sequential number that keeps a busy month straight
  • Issue date, due date, and the terms they came from
  • Each visit or task as its own line with quantity and rate
  • A tax line when you charge tax
  • Purchase order or property reference where you add one
  • Amount paid and balance due after any part payment
  • A clean PDF that prints on letter and A4 without reformatting

What gets a commercial invoice approved

  • Purchase order number where the client uses one
  • Visit dates listed rather than a single month reference
  • Site or building name for multi property clients
  • Materials and consumables billed separately from labor
  • Additional rooms or tasks itemized, not absorbed
  • Consistent wording month to month so approval is routine
How it works

Second and later invoices take under a minute

The first one for a new client takes a little longer. After that it is duplication.

  1. Open last monthFind the client, open the previous invoice, tap duplicate.
  2. Change what changedDates, any extras, the purchase order if it is new. Usually two fields.
  3. Check the totalTax and terms carry over. The new number is already assigned.
  4. Send itEmail for offices, WhatsApp for domestic clients, both with the message ready.

Questions

Questions cleaning businesses ask

What does it cost to run this every month?

The free plan is unlimited invoices and quotes forever, so twenty invoices a month costs nothing. Pro is $4.99 a month or $29.99 a year and adds five more invoice designs, removes the small watermark and puts your logo on the invoice. There is no per client or per invoice charge at any level.

Can it send the same invoice automatically every month?

No, and that is worth being clear about. There is no automatic recurring billing yet. What there is is duplication, which takes an existing invoice, copies it with a new number and clears the payments, so a monthly round is a few taps per client rather than a rewrite. If you need invoices to fire on a schedule without you, this is not the right tool today.

Can I put a purchase order number on the invoice?

Yes. Add it to the customer details or as a reference line on the document. For commercial clients this is often the single thing that decides whether an invoice is paid in the current run or held for a query, so it is worth asking every office client whether they use one.

I have twenty clients. Is a phone really the right place to do this?

For a round of small repeat invoices, yes, because duplication is a few taps and the app is with you. The place a phone struggles is bulk editing across many clients at once. If you regularly need to change rates for twenty clients in one sitting, expect to do that one client at a time here.

Can I see who has not paid without adding it up?

Yes. The list shows outstanding and paid totals and lets you filter to unpaid or overdue invoices only. That is usually where the surprise lives in a cleaning business, because no single invoice is big enough to notice, and six of them together are.

Do I need an account to use it?

No. Everything works offline on the device with no sign up. Creating a free account adds cloud backup and sync across devices, which is the difference between losing a round of client records with a phone and not losing them.

Which devices does it run on?

Android phones and tablets through Google Play, and any modern browser at app.invoicelocal.com. There is no iPhone app yet, so on an iPhone you use the browser version, which builds and sends the same PDF from the same account.
