For domestic rounds and commercial contracts

Invoicing for window cleaners, forty at a time.

A round is many small amounts from the same people on a cycle. The whole economics of billing it comes down to one number: how many seconds the second invoice takes.

The problem

The invoices are small and there are a great many of them

Nothing about a single window cleaning invoice is difficult. Forty of them on the last Friday of the month is a different problem, and it is a problem of throughput rather than complexity. At five minutes each that is over three hours you will not spend, so it slips, and slipped invoices become forgotten visits.

The second issue is invisibility. When every amount is small, nobody chases. Six customers two months behind is real money that left without anyone noticing, because no individual invoice was ever big enough to trigger a phone call.

Why it matters

Throughput is the whole business, so duplication is the whole feature

If a round invoice takes six minutes you will batch it, and batching is where visits get missed and dates get wrong. If it takes forty seconds, it goes out on the day, which means the money starts moving on the day. That is the entire mechanism, and it is why duplication matters more here than any other feature.

The commercial half of a round works differently. Offices and shops pay against a purchase order on a payment run, so the reference on the document decides whether you are in this month's run or next month's. It is worth asking every commercial customer once and saving it forever. The rest of the collection detail is in the guide on chasing an unpaid invoice.

What you get

What a window cleaning round needs

Invoice Local is built for a phone between properties, not for an evening at a kitchen table.

Duplicate in secondsCopy last cycle, change the date, send. That single action is the whole round.
Saved prices per propertyEvery customer keeps their own agreed price, so nothing is recalculated each time.
First clean priced apartThe heavier initial visit as its own line, so the ongoing rate is not misread.
Extras when they happenFrames, sills, conservatory roof or gutters added as lines only in the month they applied.
Purchase ordersCommercial references on the document, which is often the only reason an invoice gets paid on time.
Frequency statedFour weekly, eight weekly or monthly, written on the line so nobody disputes the cycle.
Outstanding on one screenThe one view that finds the six customers who quietly stopped paying.
Works with no signalRural rounds and flats with thick walls. The invoice is built on the device.
WhatsApp for domesticWhere most householders actually read things, with the PDF attached.
Covered work

What a window cleaning invoice covers

Domestic rounds, commercial contracts and one off jobs use the same builder, so nothing needs a separate system.

Domestic roundsRegular cycles at an agreed price, duplicated each time with the date changed.
First cleansThe heavier initial visit priced separately, so the standing rate stays clean.
Commercial shopfrontsWeekly or fortnightly, invoiced monthly with the visit dates listed.
Office blocksPriced by elevation or by pane, with access equipment on its own line.
Conservatory roofsAn add on with its own price, since it is a different job from the windows.
Gutter clearingSeasonal work billed per property, often the most profitable line of the year.
Solar panel cleaningPer panel or per array, with access noted where it changed the time.
Fascia and soffitPriced by run, sold alongside gutters rather than bundled invisibly.
Post constructionSticker and paint removal by hour, priced apart from routine cleaning.
In every invoice

On every invoice, with nothing to configure

Commercial window cleaning invoices are processed by accounts staff who never saw the building.

  • Business name, your logo on Pro, and any insurance reference you add
  • A sequential number that keeps a forty invoice month straight
  • Issue date, due date and the terms behind them
  • The property or site the visit relates to
  • A tax line only when you charge tax
  • Purchase order or reference where the customer uses one
  • Amount paid and balance due after any part payment
  • A clean PDF small enough to send over a weak signal

Questions

Questions window cleaners ask

What does it cost with forty customers?

Nothing. The free plan is unlimited invoices and unlimited customers forever, with no per invoice or per client charge. Pro is $4.99 a month or $29.99 a year and only changes the invoice designs, the watermark and your logo.

Will it send the round automatically each cycle?

No. There is no automatic recurring billing, so nothing goes out without you pressing send. What there is is duplication, which takes a few taps per customer. For a forty property round that is a single sitting rather than an evening, but it is not unattended.

Can I keep a different price for every property?

Yes. Each customer keeps their own saved invoice, so duplicating it brings their agreed price with it. You never retype a rate and you never send somebody the wrong one.

How do I stop small unpaid invoices piling up?

Look at the outstanding list once a fortnight rather than waiting to notice. This is the specific failure mode of a round: no single invoice is big enough to trigger a chase, so six of them go unnoticed for months. Filtering to unpaid takes seconds.

Do commercial customers really need a purchase order?

Many do, and where they do, an invoice without one may not be processed at all and nobody will tell you. Ask once when you take the contract on, save it, and it appears on every invoice from then on.

Does it work with no signal?

Yes. Invoices are created and stored on the phone, so a rural round changes nothing. Anything created offline syncs when you are back in coverage if you have signed in.

Which devices does it run on?

Android phones and tablets through Google Play, and any modern browser at app.invoicelocal.com. There is no iPhone app yet, so on an iPhone you use the browser version, which builds and sends the same PDF from the same account.
